Experience Required HR operations or benefits administration Roles & Responsibilities 1) Benefits & Leave Administration (US & Canada) • Administer health & welfare, retirement, and leave of absence programs (including STD/LTD, RTW). • Maintain accurate records across HRIS/TPA systems; ensure timely enrollments, updates, and corrections. • Address day to day employee and HRBP queries (Tier II) for benefits and leaves. • Facilitate new hire benefits training and retirement consultations. 2) Payroll, Funding & Financial Reconciliation • Ensure accuracy of payroll premium deductions and benefits enrollment feeds. • Review/approve payroll pre checks for US and Canada benefits. • Manage funding transactions for retirement benefits (DC/DB); process benefit invoices on time. • Partner with Accounting on reconciliation, financial reporting, benefits budget tracking, and forecasting. 3) Vendor & Interface Management • Support/manage vendor relationships (TPAs, insurers, ERISA counsel); exchange feedback and track SLAs. • Oversee vendor interface reports/EDI files; resolve errors and escalate trends to HRIS/Benefits. • Coordinate with external partners to ensure service quality and knowledge accuracy. 4) Compliance, Audits & Fiduciary Support • Stay current on regulatory changes (ERISA, DOL, IRS, ACA, COBRA, HIPAA, FMLA; FSRA/CRA for Canada) and support policy/process updates. • Support audits and required filings: discrimination testing, Form 5500, SAR, SPDs, Annual Funding Notice, SMM, ACA reporting; Canadian equivalents. • Maintain privacy and HIPAA compliance across HR processes. 5) Employee Communications & Wellness • Develop and maintain employee-facing benefits communications: plan documents, SPDs, enrollment guides, notices. • Design/execute benefit campaigns, training, knowledge articles, and benefits website content. • Manage wellness programs/projects; coordinate site champions and partner with HRBPs on local wellness activities. 6) Stakeholder Engagement & Customer Centricity • Build strong relationships with HR, HRIS, Payroll, Legal, Finance/Accounting. • Enhance employee experience by timely issue resolution and root cause analysis for recurring problems. • Track and report employee cases; surface systemic issues and recommend fixes. 7) Analytics, Reporting & Continuous Improvement • Provide utilization/participation analysis (including for union negotiations and quarterly reviews). • Execute process evaluations for adherence to plan rules and operational efficacy; drive improvements. • Support special projects and change initiatives within the Benefits team. Generic Managerial Skills Drives accountability, manages priorities efficiently, and ensures timely achievement of goals and deliverables.
